What is Lotus Notes, and what is Lotus Domino?

With Lotus Notes and Domino gaining momentum, each day there are more and more people whom are "new to Notes". While Notes/Domino is incredibly powerful and secure, it does have aspects that can intimidate new users. Terms like domain, home server, replication, clustering, location documents, and connection documents may be things users have not heard before. I hope to explain many of these concepts via a series of blog entries that I will call... "Lotus Notes and Domino 101".

So let's start with the product names themselves, IBM Lotus Notes and IBM Lotus Domino... What's the difference?

  • Notes is the software you have installed on your machine, often called the "Notes client".
  • Domino is the software that your client connects to, running on one of your company's servers. You (as a user) have nothing to worry about with respect to controlling the Domino server.

Here's an analogy. You have a web browser installed on your machine (Microsoft Internet Explorer, Mozilla Firefox, Netscape Navigator, etc) and you use it to connect to web sites (such as www.ibm.com) but you never really think about what software is running that web site, nor do you need to. So your web browser is a client and the web sites you connect to are on servers. Similarly, Lotus Notes is your client, the databases you access are running on Domino servers.

A basic understanding of Lotus Notes

Similar to learning to drive, or learning to play a sport, when learning to use Lotus Notes (or any software) if you first have a strong understanding of the basics, learning the more advanced things will come easier. Sure it could be argued that "software should be so easy you don't need to learn it", but that could be said for anything.

Edit an attachment directly in a Notes Document?


You must follow these steps to ensure your changes are saved:


1) Find the Notes Document with the attachment. Open that Notes Document in Edit Mode.

2) Click on the attachment and select EDIT

3) Make your changes in the attachment. When complete, close out the program and SAVE the changes when asked

4) Next you need to SAVE the Notes Document that the attachment is in. Otherwise, your changes will not be saved.

While editing your attachment, do not close out of the associated Notes Document or your changes cannot be saved.

Default access - posting approval in the About document

Step 1 - Request email approval from an appropriate manager

Step 2 - Copy the approval

Step 3 - In the team database, select Administration - About/Using Docs (this must be done by someone with Keyword access to the database)




Step 4 - Click on Add About or Using Text



Step 5 - Select About this database for Document field



Step 6 - Paste approval email from manager in the Text for Document field



Step
7 - Save and Close the document



The result: When a user selects the About document for your database



the About document displays. When the user clicks on the manager approval displays.

Creating categories

In order to create categories, you must have the keyword role in the database ACL

Follow these steps:

1- In the navigator, under Administration/Categories, click on Categories




2- Click on the New Category button



3- Click on the drop down box at the right of the Key Value field



4- Highlight 'Category', click OK



5- Enter a category name in the Keyword field and a category description in the Description field
6- Click the Save and Close buttons

Note that Category keywords are used for Documents and Discussions.
If you wish to set up categories for meetings, you must go thru this same process and
select the keyword called 'Meeting Category'

Check-in/Check-out

This function prevents a document from being edited by more than one person at a time. The intent is to eliminate replication conflicts.

When a document is checked out, the original document is marked 'read only' and a response document is created that is visible only to the person who checked out the document. This person then can edit the response document as needed.

Once the document is checked in, the original document is marked for deletion and edited version is promoted to document level. For a short time, 2 document are visible in the view until the original is actually deleted. At this time, only the edited version can be opened for viewing. The result is that the edited document, in effect, replaces the original.

The edited version can then be checked out for further editing. But once the second version is checked-in, the first version is marked for deletion and the second version is the only document left in the db. The objective, therefore, is to keep only the most recently edited version.

Can I restrict access to a particular folder in the team database?

Access is not managed by folder but, rather, for each individual document.

In the Document section of the database, you can mark each individual document with an access of Private and then list the people you want to be able to read and/or edit the document. If the people you want to allow access to are set up in a Notes group, you can simply enter the group name in the access field. All of the people in that group, of course, will need to be set up in the access control list (ACL) as having some kind of access to the database itself.

Step 1: Click on the access tab in the document:

Step 3: Add the names of individuals or groups that can access the document (Readers can read-only, Authors can read and edit)

Password expiration - is there any impact on calendar delegation/access?

If person A were to actually "delegate" by granting person B access to their mail file then there is no real impact. Each person will have password expiration that they need to manage and what they access is irrelevant. There is no password expiration assigned to a "mail file" anymore than it may be assigned to a database. Password expiration applies to an individual user ID file.

However, If person A were to give person B a copy of their ID file and tell them their password (not a suggested best practice but it does happen) then things become quite complicated. The suggested solution would be for the owner of the ID file to be responsible for changing their password and then every copy of that ID file would need to have the password changed to the exact same thing.

Group Calendar Error in ND7

In the Calendaring & Scheduling feature of Notes/Domino 7, a Group Calendar does not print all members' schedules. Only the mail file owner's schedule prints.

This problem occurs only when the Calendar Style in the Print Calendar dialog box is set to "Group". The problem does not occur when other Calendar Styles are selected (such as "Weekly Style").

Workaround:

When printing a Group Calendar - selecting "Group", only the first group entry is displayed.



Because Bernard was first on the list, his calendar is the only one that can be printed.



The workaround for this is to select Weekly Style, Monthly Style or Calendar List.



The outcome however is not quite the same. Each person's schedule on the group list is displayed as a separate tab in the Notes Workspace. You still have the options to print or forward the calendar(s) as you would with the 'Group' print.

  1. From your Calendar, select 'View & Create Group Calendars'.
  2. Click the 'New Group Calendar' button.
  3. Give your group calendar a title. Then select members by clicking on the drop down. This will open the DuPont Name and Address book. When your members are selected, click 'OK'.
  4. You now have your new group calendar.

How to Compact Your Database

  • Make sure you have enough space on your hard drive
  • Right-click on Mail Database
  • Select Database Properties
  • Click the “i” tab
  • If percentage is less than 85%, click the “Compact” icon
  • Click “OK” to proceed
  • Be patient--this may take a few minutes

How to Save and Delete File Attachments

To Save:
  • Double-click on the attachment
  • Click “Detach” and browse to where you want to save the file
  • Click “Detach” again.
To Delete:
  • Choose Actions > Edit Document
  • Highlight the file attachment
  • Press the “Delete” key
  • Click “Yes” to proceed
  • Click “Save and File” to save the message
  • Click “Close” to return to the view in your mail file.

How to Opt Not to Save Outgoing Messages

  1. Choose File > Tools > User Preferences. (You’ll then see a box with a number of options.)
  2. Click on “Mail.”
  3. Select "Always Prompt" for your "Save Sent Mail" option. This will give you the option to save or not save messages.
  4. Click “OK” when you are finished.
