Best Practice: How to protect confidential attachments in calendar entries

Users often attach documents to calendar entires that should be kept private. With increasing concerns about the protection of intellectual property, users should create links to documents that reside in a Lotus Notes database, rather than attaching unprotected documents in calendar entries. (Keep in mind that this is only a concern for users who keep their calendar entries 'public'.)

Follow this best-practice for ensuring the privacy of your attachments.

Using Lotus Notes Database Links to protect attachments is the preferred 'best practice'. However, Microsoft Office also offers a tool to keep documents private. Users can require a password to open or modify files by following the process below:

  1. Open the file (Word, Excel, Power Point)
  2. Select Tools menu
  3. Click Options
  4. Click Security
  5. As shown below, select either 'Create a password to open' or 'Create a password to modify'. Only users with the password will be able to open/modify the file.
